This site is operated for the Correctional Service Week & Conference 2026 by the State Department for Correctional Services (SDCS), Republic of Kenya. This notice explains what personal data we collect, why we use it, who can access it, and how you can ask questions or request corrections.
Depending on how you use the site, we may collect: full name, email address, phone number, organisation, country, delegate category, passport number (for invitation letters and additional delegates), abstract and full-paper files and metadata, sponsorship interest details, and messages sent through the secretariat contact form. Account credentials are stored by our authentication provider. Server logs may include IP address, browser type, and the pages or API routes you request.
Personal information is used only to administer the conference: registration and the delegate portal, abstract review, full-paper intake, invitation-letter generation, sponsorship follow-up, programme operations, and communications about the event. We may also use it to meet legal, audit, or security obligations of SDCS. We do not sell personal data and we do not use it for unrelated marketing.
Data is stored in conference systems managed for SDCS (including hosting, database, and file storage providers acting on our instructions). Authorised secretariat, admin, and assigned reviewers can access the records they need to do their work. Reviewers see abstract content for scoring; they do not receive submitter contact details or file-storage paths. Email notifications, when SMTP is configured, are sent to the address you provided.
Registration, abstract, and related records are retained for the conference cycle and a reasonable period afterwards for operational follow-up, reporting, and legal requirements, then deleted or archived according to SDCS records practice.
The site uses cookies needed to keep you signed in and to remember accessibility preferences. If you allow the optional usage cookie, we store only a yes/no consent flag (and an anonymous identifier in the browser). Clicks are counted as daily totals by page and feature — not as a stream of your individual activity — and we do not record names, emails, passwords, or form contents. Staff console pages are excluded. If you turn on French language, a third-party machine-translation widget (Google Translate) may process page text. Translation is disabled on sign-in, portal, admin, reviewer, privacy, and terms pages so personal details are not sent to that service.
The CSW Connect iOS and Android companion uses the same account as this website. It may store a copy of the programme, speaker bios, and your personal agenda on the device so the app still works if venue Wi‑Fi drops. Optional notifications use a device push token. Optional location is used only when you ask for driving directions to the venue; that coordinate is not stored on our servers. Optional networking directory entries show your name, organisation, and country to other opted-in delegates.
To access, correct, or delete your registration or submission data, contact the conference secretariat at csw@correctional.go.ke. Include the email used at registration. You can also start a deletion request from Profile in the companion app. We will confirm when the account and related personal data have been removed, unless a legal or audit duty requires a limited record to be kept.
